1. Who operates this service?

Smart Careers Hub is a recruitment and job-publishing website. The organization administering this site is responsible for its recruitment decisions and for handling applicants' personal information. For privacy enquiries, please contact the recruitment and privacy contact shown below.

2. Information we collect

When you apply for a position, we receive the information you choose to provide: full name, email address, phone number, role applied for, current job title, years of experience, LinkedIn profile URL (if supplied), curriculum vitae, cover letter (if supplied), and your application-consent timestamp. We also store application status and internal recruitment notes.

When authorized administrators use this website, the system processes account details, authentication information, configuration data and publishing activity. To protect the service, it may process session-cookie information, technical logs, request metadata and hashed network identifiers used for rate limiting.

3. How we use information

We process information in connection with recruitment requests, user consent where obtained, and our legitimate operational and security needs, subject to applicable law.

4. When information is shared

Applications are accessible to authorized recruitment staff or administrators. Hosting and email service providers may process information to operate the website and deliver messages. We may also disclose information when required by law. Applicant CVs and application details are not automatically published to Facebook or LinkedIn; connected social channels receive job-announcement content and application-page links.

Service providers may operate in different countries. Where cross-border processing occurs, it will be managed in accordance with applicable obligations.

5. Facebook / Meta and LinkedIn integrations

When an authorized administrator connects a company page using the platform's authorization flow, the system may receive selected page identifiers, page names and authorization credentials or access tokens needed to publish job announcements and display publishing status. These details are used for the requested publishing integration, not to access applicants' Facebook accounts. We do not request applicants to sign in with Facebook to apply.

Social platforms also process information under their own privacy policies. You can review Meta's Privacy Policy and LinkedIn's Privacy Policy.

6. Storage, protection and retention

Access to the applicant dashboard is restricted to authorized staff. CV files are stored in protected server storage and made available through authenticated administrator access. We use appropriate technical measures designed to protect stored data, but no internet service can promise absolute security.

This deployment is currently configured to retain recruitment applications for 365 days from submission before scheduled cleanup, provided the scheduled maintenance process is running. Information may be deleted earlier on request or kept longer where legally required. Configuration and operational logs may have different retention periods.

7. Cookies and technical information

The portal uses session cookies to support administration, prevent cross-site request forgery and maintain website security. Technical server records may contain IP addresses and request information. We do not use the recruitment application form for third-party advertising profiling.

8. Your rights and data deletion

You may contact us to ask about your personal information, request correction, or request deletion, subject to applicable legal and operational requirements. We may need enough information to identify the application before acting on a request.

9. Changes to this policy

We may update this notice if the service or data practices change. A revised effective date will be displayed here when updates are published.

This notice describes the functionality of Smart Careers Hub. The website operator should verify the legal organization name, contact details, use of third-party services, and applicable privacy obligations before production use.
